1. Scope & Acknowledgement

  1. By engaging our services and/or approving a proposal, retainer, invoice, or purchase order, you (“Client,” “you,” “your”) acknowledge that you have read, understood, and agree to this Refund & Cancellation Policy.

  2. Because many of our services are customized, bespoke, and require advance procurement of materials or products (often non-refundable from suppliers), all sales, deposits, and fees are generally non-refundable, except as expressly set out herein.

  3. Nothing in this policy limits or excludes any rights you may have under applicable consumer protection or contract law (e.g. for defective goods, misrepresentation, breach of contract).


2. Deposits, Retainers & Initial Payments

  1. In all projects, a deposit / retainer is required before work begins. This deposit secures your place in our schedule and covers preliminary planning, design time, project setup, and non-recoverable administrative work.

  2. Deposits and initial payments are non-refundable, except in rare circumstances at our sole discretion.

  3. Because we may incur costs immediately (e.g. design research, coordination, ordering of materials), once the deposit is paid, it cannot be reversed or refunded.


3. Cancellation by Client / Project Termination

  1. You may request cancellation of a project at any time by providing written notice to us (via email, or via the contact form) subject to the terms below.

  2. If cancellation is requested before design work commences or deliverables are presented, we may (at our discretion) refund a limited portion of your payment, less the non-refundable deposit.

  3. Once design work has commenced or deliverables have been provided or shared, no refunds will be provided for services rendered.

    • Some interior design firms apply a sliding scale (e.g. retaining a percentage of total fees depending on stage) but many adopt an “all sales final” approach after work begins. For example, Folks Interiors states that before work begins, a 75 % retainer may be refunded, but after work begins, no refund is available. 

    • Nightingale Design Studio makes all design, consultation, and custom work non-refundable once deliverables are provided. 

  4. In all cases of cancellation, you remain responsible for any non-recoverable costs we have already incurred (supplier deposits, shipping, vendor orders, labour) up to the full amount of fees paid.


4. Materials, Furnishings, Products & Vendor Orders

  1. Because we purchase materials, furnishings, décor, custom items, or coordinate orders on your behalf, these items are non-refundable, unless the underlying vendor or manufacturer policy provides for return or replacement. In other words, we cannot guarantee that a refund is possible, even if you change your mind once the order is placed.

  2. If an item arrives defective, damaged, or incorrect, you must notify us in writing within 7 calendar days of receipt. We will use reasonable efforts to coordinate with the vendor/manufacturer for repair or replacement, subject to their policy.

  3. Returns or exchanges for non-defective items are subject to the vendor’s return policy (if any), and typically the return shipping, restocking fees, and portions that are non-recoverable will be borne by you.

  4. If the vendor or manufacturer refuses return, or imposes a restocking fee, those costs may be passed to you.


5. Situations of Dissatisfaction, Dispute & Remedy

  1. If you believe we have failed to deliver services as agreed (e.g. major defects, omissions, or deviations from the scope), you must promptly notify us in writing, describing the issue with reasonable specificity.

  2. We will use reasonable efforts (in our discretion) to remedy, revise, or correct any deficiencies within the scope of the project at no additional charge, provided the issue is within our control and not caused by your changes or third-party constraints.

  3. However, such remedial work does not constitute an obligation to issue a refund.

  4. In any dispute over a charge, you agree to engage first in good-faith resolution discussions, mediation, or alternative dispute resolution before pursuing litigation (if permitted by law).

  5. If a client disputes a credit card charge (i.e. a chargeback), we reserve the right to invoice you for services rendered, including any portion already delivered, and to recover any associated legal, administrative, or collection costs.

    • Note: Some interior design firms explicitly include these chargeback clauses; for instance, Sea Interior Design states that clients disputing charges may be invoiced for deliverables already provided, legal fees, banking fees, etc. 


6. Modifications & Refund Policy Updates

  1. We reserve the right to amend or update this Refund & Cancellation Policy at any time, in our sole discretion. The version posted on our website (http://aetheriainteriors.com.3ufixjknza-v13xpp9176gq.p.temp-site.link.3ufixjknza-v13xpp9176gq.p.temp-site.link.3ufixjknza-v13xpp9176gq.p.temp-site.link) is the authoritative version.

  2. Any changes will become effective upon posting. You should review this policy periodically. Continued use or entering into new agreements after changes constitutes your acceptance of the revised policy.


7. Severability & Interpretation

  1. If any provision of this policy is deemed invalid, illegal, or unenforceable by a court of competent jurisdiction, such provision will be severed or limited to the minimum necessary extent, and the remainder of this policy will continue in full force and effect.

  2. Headings are for convenience and do not affect interpretation.


8. Governing Law & Jurisdiction

This policy and any agreements between you and Aetheria Interiors Inc. are governed by the laws of the Province of British Columbia and the federal laws of Canada as applicable. Any disputes will be resolved in the courts of British Columbia or by applicable alternative dispute resolution procedures.
